Project Management step by step guide

Project Management is a series of methods for managing a distinctive and temporary venture to achieve a goal.

A successful project needs to have a clear and agreed goal, sufficient business support and capability and enough resources including time, money, facilities, and people.

Below are the steps and processes you follow when you are implementing project management:

Step 1.  Decide on your project.

It is important for your team to work on one project at a time, so focus doesn’t get removed with distractions.

Step 2.  Appoint a Project Manager.

This someone that has the skills and abilities to control, decision make and give leadership to your team.

Step 3.  Define the project plan objectives.

Have a clear vision of what you want the result to be.  Make sure they are precise and follow the SMART goal setting rule.

Step 4.  Identify key risks.

Highlight possible problems and recognise any contingencies that may affect the outcome or desired result of the project.

Step 5.  Set a budget.

This should be for each key area or process of the project.

Step 6.  Set a deadline for the completion of the project.

You might use a timeline so you can indicate all processes of the project and get a clearer perspective of how long the project is going to take realistically.

Step 7.  Identify the critical activities.

These will determine how the project will be done to meet its objectives.

Step 8.  Set a performance criteria.

Establish a standard for performance.  For example, the production equipment is operated and controlled according to specifications.

Step 9.  Determine and outline the resources required.

What is needed to get the project done.

Step 10.  Indicate clear responsibilities

Advise and indicate clear responsibilities required by each team or individual.

Step 11.  Monitor & Evaluate

You will need to continuously monitor the progress and set weekly meetings in which the project can be reviewed and assessed against its objectives.  Consider time, quality and costs that may affect the project.

Step 12.  Completion

Complete the project and deliver the output.

When you are project managing you will need to apply contingency plans and allow for unforeseen circumstances.  For instance, your main areas of concern will be:

  • Missing the deadline
  • Exceeding the budget
  • Departing of a team member
  • Conflicts
